Child Discount - Children under 11 years is generally granted a reduction up to 75% of the land tour, 75% of airfare, provided that they are accompanied by at least two full-paying adults and stays in the same room. An extra bed is fully charged as adult.

Deposit & Payment Policy - A deposit of 30% of the tour value by credit card or bank transfer plus bank charges (processing fees) is required upon confirmation of your booking (If the tour value is less than US$500, a 50% deposit will apply).

Note: If you pay by credit card, please add 2% for bank fee.

Once a deposit is received it is understood that you have read, understood and accepted all our Terms and Conditions.

The full pre-payment will be required no later than 15 days before departure for all services by money transfer or credit card payment with all bank transfer charges/ fees to be paid by the client. Asia Essence Tours' account detail below:

Cancellations & Refunds – Non-refundable deposit of 10 USD for hotels, air ticket, transportation or other separated services booking upon service confirmation.

Requests for cancellation of confirmed bookings must be made in writing and addressed to either Asia Essence Tours directly or through your booking agent and will be subject to the following cancellation fees:

Cancellations within:

Greater than 30 days prior to arrival date – 10% of the total payment will be redeemed by Asia Essence Tours for processing fees.
15 - 29 days prior to arrival date – 20% of the total payment will be redeemed by Asia Essence Tours for processing fees and supplier charges
3 - 14 days prior to arrival date - 30% of the total payment will be redeemed by Asia Essence Tours for processing fees and supplier charges.
Less than 3 days prior to arrival date – 50% of total payment will be redeemed by Asia Essence Tours.

Please Note: Refunds will not be given till after journey commencement, even if services are unused or cancelled for any reason.

Visa - Visa are required for Vietnam, Cambodia, Myanmar, Thailand & Laos. Visa exemptions for 30 day maximum stays, apply to selected passport holders of certain countries. Visa for Cambodia and Laos can be obtained prior to departure in your own country and can also be obtained on arrival through one of the international airports or land borders. Vietnam visa MUST be obtained from your country of residence PRIOR to your arrival. It is highly recommended you allow a minimum of 10 working days for Vietnam visa processing. The timely acquisition of a valid visa and other official travel documents remains your responsibility. Please note if you leave and re-enter any country that requires a visa you may need to obtain a multiple entry visa for that country.

Please also take note that most countries in Asia, including Vietnam insist that passports are valid for at least six months after date of entry into their country.

Personal Insurance - Medical facilities across Asia are often unable to provide the full range of medical services that are available in developed countries, making evacuation a requirement in many non-life threatening medical situations depending on your country of travel. The costs of evacuation as well as international standard care are usually extremely high. In the most serious emergencies, travelers may not be capable of authorizing payment for an appropriate medical response that is urgently required. This may delay or prevent the provision of critical and possibly life-saving medical attention. This is the reason it is a condition of travel we require that all travelers are adequately covered by travel insurance prior to arrival. Insurance should cover personal accident and medical expenses, evacuation and repatriation, baggage loss, and cancellation or curtailment of holiday at a minimum. Your insurance details must be supplied to us at the time of booking or no longer than 10 days pre departure.

Travel Insurance - Asia Essence Tours has responsibility to buy travel insurance with the highest feedback to 10,000 USD during the tour, the term and conditions of travel insurance must comply with the contract between Asia Essence Tours and Insurance Company.

Please note, Asia Essence Tours reserve the right, acting in our sole discretion, to cancel bookings with no refund if a traveler arrives with no insurance coverage. This protects both the traveler and Asia Essence Tours. If there is a circumstance you are unable to provide this information in the time required, we must be advised immediately to avoid unnecessary cancellations. In the event insurance is not obtained on arrival Asia Essence Tours reserve the right to cancel the booking with no refund.

Luggage – Your baggage should be clearly labeled at all times. Luggage limits on airlines are strictly enforced. Some flights booked through Asia Essence Tours - domestic and international, have a luggage limit of 20 kilograms per person. You may be required to carry your own luggage at times where porters are not available; you should be capable of carrying your own bags on and off trains, and up and down stairs. If you are doing a lot of shopping during your travels, it may be necessary for you to forward any excess to the city where your journey concludes, or ship purchases directly to your home.
